Fee management

School fee management software with partial payments

Classveew bills whole classrooms automatically, lets your cashier record full or partial payments, and keeps every family's balance up to date. Parents see their invoices in the Classveew app and can pay online by card.

Staff work on the web. Parents use the Classveew app on iOS and Android.

Partial payments, without the spreadsheet

Many families pay school fees in parts. Classveew records each part against the invoice, so nobody has to keep a separate list of who still owes what.

  • Record any amount up to the balance due. Classveew works out what is left straight away.
  • Take as many payments as a family needs against one invoice, at the counter or by card in the app.
  • A payment larger than the balance is refused, so balances never go below zero.
  • Revoke a payment entered by mistake with a required note. The invoice status updates by itself.
  • Each payment is listed in the invoice's payment history, with its method and who received it.

Every invoice shows where it stands

  • Pending Issued, nothing paid yet
  • Partial Part paid, balance still due
  • Paid Settled in full
  • Overdue Past the due date, nothing paid
  • Overdue partial Past the due date, part paid

Everything you need to bill and collect fees

From the first invoice to the last payment, in one place your whole finance team shares.

Fee templates

Build fees from named items, add tax, and apply discounts or surcharges as a fixed amount or a percentage, per item or on the whole fee.

Automatic billing

Bill once, weekly, monthly or yearly. Classveew creates each invoice for every student in the classrooms you choose, or only the students you pick.

Partial payments

Record any amount up to the balance due. Several payments can go against one invoice, mixing cash and card.

Late fees with a grace period

Set a grace period and a percentage or fixed penalty. It is added automatically once an invoice is overdue. On-time payers are never charged.

Automatic reminders

An email with the invoice PDF when it is issued, an app reminder 7 days before the due date, and a daily reminder while it is overdue.

Fees in the parent app

Parents see each child's invoices, balances and payment history on iOS and Android, and pay by card with 3-D Secure.

Cashier sessions and roles

A built-in Cashier role. Sessions open with a starting balance and close with a cash count, and Classveew flags any difference.

Paid events

Charge for trips and events. If a parent declines consent, the invoice is cancelled; if they accept again, it comes back.

Fee management questions

Does Classveew support partial payments for school fees?

Yes. Your cashier can record any amount up to the balance due, as many times as needed. Classveew updates the remaining balance after every payment and marks the invoice Partial, or Overdue partial once the due date has passed. A payment larger than the balance is refused.

Can parents pay school fees online?

Yes, in the Classveew mobile app. Parents see every invoice and its balance, and pay the remaining amount by card with 3-D Secure; a card can be saved for next time. Online card payments are available for schools that bill in Sri Lankan rupees (LKR). Schools in other currencies record payments at the counter.

How are parents reminded about fees?

When an invoice is issued, every guardian gets an email with a link to the invoice PDF. The app sends a reminder 7 days before the due date, and a daily reminder while the invoice is overdue. Each reminder opens the invoice in the app.

Can Classveew bill school fees automatically every month?

Yes. A fee can be billed once, weekly, monthly or yearly. Classveew creates each new invoice for every active student in the classrooms you choose, or only for the students you pick. Recurring invoices can be paused, resumed or cancelled, and edits apply to future invoices.

Can Classveew charge late fees?

Yes. Each fee template can have a grace period and a late penalty, either a percentage or a fixed amount. Classveew adds it automatically once an invoice is overdue past the grace period, and shows it on the receipt. Families who pay in full on time are never charged.

What happens if a payment is recorded by mistake?

A staff member with the Revoke Payment permission can revoke the latest payment recorded at the counter, with a required note, and the invoice status updates straight away. Invoices paid fully in cash can also be refunded, with the reason recorded.

Can I export fee and payment data?

Yes. The finance report exports invoices to CSV, filtered by date range, curriculum, grade, classroom, student and payment status.
